The American Association of Suicidology (AAS) is the world’s largest and nation’s oldest membership-based suicide prevention organization. Founded in 1968 by Edwin S. Shneidman, PhD, AAS promotes the research of suicide and its prevention, public awareness programs, public education and training for professionals and volunteers.

Sr. Business Operations Manager (REMOTE)

The American Association of Suicidology (AAS) is seeking a strategic, detail-oriented Sr. Business Operations Manager to oversee the organization’s financial operations, compliance program, human resources functions, and day-to-day operational activities. This role will work closely with the Executive Director and other leadership to support AAS’s growth, manage accounting processes, guarantee financial and operational compliance, and provide guidance on organizational operations. The Sr. Business Operations Manager will be responsible for driving financial stability, managing cash flow, and collaboratively advancing the implementation of the organization’s strategic plan. This position will support donor relations and development.

This position supports the Executive Director and staff by managing all bookkeeping, financial reporting, and HR processes. They oversee the organization’s accounts payable and receivable, financial reporting, data entry, and budget and tax preparation. Additionally, this role participates in donor relations through the maintenance of donor information and tracking and recognition of donations.

Key Responsibilities:

Financial Management:

  • Accounts Receivable and Payable
  • Enter and reconcile cash, check, and credit card deposits
  • Manage restricted and pass-through contributions
  • Process check requests, ensure proper approvals, and mail checks
  • Ensure accuracy in general ledger entries and sign off on payables

Financial Reporting:

  • Prepare monthly financial reports in accordance with Generally Accepted Accounting Principles (GAAP) and reconcile bank accounts monthly
  • Manage the annual operating budget and collaborate with the Executive Director to execute financial strategies
  • Conduct annual audits and prepare Form 990 for tax purposes
  • Issue 1099s at year-end according to tax requirements
  • Work closely with external accounting/finance team

Donor Management:

  • Ensure all donations are entered into QuickBooks and donor information is updated in the database
  • Write and process acknowledgment emails or letters weekly for all donations
  • Complete matching donation forms and individual year-end donation acknowledgments as requested

Operational Oversight:

  • Work as a collaborative member of the Leadership Team to guide office operations, policy development, and implementation
  • Oversee contract commitments and expenditures to ensure alignment with budgeting and financial objectives
  • Maintain office flow with adequate supplies and ensure proper equipment inventory list maintenance
  • Oversee alignment of operational activities with organizational goals to enhance productivity and service delivery

Human Resources Management:

  • To guarantee adherence to best practices and employment laws and regulation compliance, maintain and update the employee policies and procedures handbook
  • Ensure appropriate administration of payroll and employee benefits, including health plans, insurance, and retirement
  • Coordinate employee recruitment and assist with onboarding processes
  • Design, implement, and oversee the process used to evaluate employee performance, set goals, provide feedback, and recognize achievements, ultimately aiming to align individual contributions with organizational objective

Support Functions:

  • Assist the Executive Director in overall organizational operations, providing insights and support for financial and operational decisions
  • Provide support to the Board of Directors, including the Finance Committee and Board Treasurer
  • Assist with mid-year and end-of-year reporting requirements and occasional program support for events
  • Assist with organizing and executing fundraising events and supporting financial decisions related to development and fundraising efforts

Compliance and Best Practices:

  • Ensure compliance with all relevant agencies and regulations, including federal and state nonprofit requirements
  • Implement best practices and internal controls for financial and operational functions to safeguard the organization
  • Oversee audits, reviews, and examinations to ensure alignment with regulatory and operational standards
  • Ensure compliance with all governmental laws, charitable filing requirements, Department of State reporting, and other federal or state regulations

You may also have additional responsibilities as directed by the Executive Director.

Required Skills and Background:

Education and Experience: Bachelor’s degree in business administration, Accounting, Finance, or a related field, plus three (3) or more years of experience in a financial role, preferably within a nonprofit organization; or an equivalent combination of education, training, and/or experience from which comparable knowledge, skill, and abilities have been attained.

Experience with audits, grant management, and nonprofit financial reporting is essential.

Proficiency in QuickBooks, word processing, spreadsheets, and presentation software.

Strategic Financial Management: Proven experience in financial forecasting, budget management, variance analysis, and cash flow optimization.

Compliance Knowledge: Strong understanding of compliance requirements for nonprofit organizations, including charitable filings, state and federal laws, and internal controls.

HR and Operations Experience: Experience supporting HR functions, payroll processing, benefits administration, and operational compliance.

Leadership Skills: Excellent communication and organizational skills, with the ability to lead financial planning and collaborate with executive leadership and staff.

Positive Team Player: Demonstrates a positive attitude and enthusiasm, contributing to a harmonious team environment.

 Working Environment:

Physical Requirements: Ability to sit for long periods while performing typing duties. Ability to lift and carry objects of moderate weight (i.e., lifting objects weighing between 20 to 50 pounds occasionally, and/or 10 to 25 pounds frequently); and perform occasional bending, kneeling, and other physical activities.

Work Schedule:

40 hours per week, primarily Monday – Friday with some occasional weekend support
